Getting Started- The Basics

Basics

Getting started is easy.  Use the guides below for step-by-step instructions or you can watch the video from Microsoft.

How do I access Teams?

Teams is an app available in Office365.  To access it, visit outlook.office365.com and login with your @ncu.edu credentials.

In the upper left corner, click the app launcher (also know as a waffle).  Select Teams from the list of available apps.

How do I start a chat in Teams?

Starting a chat in Teams is easy!  The Command Box at the top of the Teams app can be used for searching.  You can search for specific items or people, take quick actions, and launch apps.

Find the person you want to chat with and click their name.  Teams will open the new chat conversation in the viewing pane.  Type your message into the box at the bottom of the app and then hit the arrow to the right to send.

Try to narrow or refine your search if you receive too many results.  Also, for a list of commands, type "/" or "@" into the command box.

How do I make calls in Teams?

To make a call, select Calls from the Activity Control pane on the left side of the app.  You can speed dial, call contacts, enter a phone number, and also search for new people to call.  View your call history and voicemail in this same area.

Click the phone icon to call someone from a chat.  Or click the camera icon to make it a video call.  Anywhere you see a phone icon, you can click and Teams will begin the call.

Want to share your screen during the call?  Use the boxed arrow icon (displayed next to the video and camera icons).  Then select the screen/program you want to share.

How do I create and share documents in Teams?

Teams is the ultimate collaboration tool for sharing files.  Rather than sending an email with your document attached, and receiving numerous replies/copies, in response, share your file in Teams.  In doing so, the app allows users to coauthor and edit in real time, all in one document.  Easily access and collaborate on a project or document with apps like Microsoft Word, PowerPoint, and Excel.

Files can be shared within chats, channels, and meetings with a link.  They can also be uploaded directly into Teams and are automatically added to a document library, allowing for seamless and secure access across apps and devices.

If you want to share a document in a chat, you can select the paperclip icon at the bottom of the screen and then choose OneDrive or to upload from your computer.  Locate the file and then click Share.

Microsoft has a great video covering how to share files and edit in real time with other team members.  You can watch this by clicking the link below.

How do I share an announcement or file with my team in Teams?

Sharing files in a Team is similar to sharing within a chat conversation.  Begin by navigating to the team workspace.  At the top, to the right of the Team name, you will click on Files.  From here, choose if you want to add a new file or or folder or upload an existing file or folder.

How do I add a new team in Teams?

New teams must be added by Service Desk.  To add a new team in Teams, submit a ticket to servicedesk@ncu.edu for assistance.

How do I add team members to a team?

To add team members and manage the team settings, click the three dots (...) next to the team name.  Your options are:

  • Hide
  • Manage team
  • Add a channel
  • Add member
  • Leave the team
  • Get link to the team
  • Manage tags

If you click manage team, this takes you to an administration page where you can adjust settings or add channels and members.  However, for quick actions such as adding a member or getting the link to the team, you can do that from the options menu.  If you have a lot of changes to make, visit the administration page to manage the team.

How do I mention someone (tag someone) in a chat?

To mention someone or tag them in your reply, type @ and then their name.  Teams will display some options in a list that you can choose from instead of having to type out their full name.

You can type @team to message everyone in a team or @channel to notify anyone who made that channel a favorite.

How do I get a quick recap of my activity in Teams?

Use the Activity icon from the activity controls in the left side navigation.  Feed shows all notifications and recent happenings in the channels you follow.  This section gives you a quick recap of any missed activities and everything that's happened in your channels.
